1. Introduction and Scope
This Privacy Policy explains how Offisen uses and stores data when automating workflows, the control you have over that data, and when third-party services are involved.
This policy covers the Offisen application, the diagnostic summaries you choose to send to us, our support communications, and the Offisen website. Third-party services, such as Microsoft Store, also have their own privacy policies.
Offisen is published by Rudolf Mendzezof. For questions about privacy or to exercise your rights, contact [email protected].
2. Data Used for Automation
When recording and running workflows, Offisen processes information about your actions, such as clicks, keystrokes, and text you enter. It also uses information needed to identify the applications, windows, and controls involved in your workflow.
This information is used to create, edit, and replay automated workflows according to your instructions.
Recorded content may include personal or sensitive information if it forms part of your workflow. Before recording, consider what information you include, particularly when entering passwords or other confidential information.
3. Data Storage and Security
Offisen stores automated workflows, settings, and related operational data locally on your device. Saved workflows remain available for future use until you delete them. Deleting a workflow does not delete any backup or shared copies.
Access to locally stored data depends on your device’s security and the permissions associated with your user account. Offisen does not itself encrypt workflow files, and their contents may be readable outside the application.
If your workflows contain confidential information, protect your device and all copies of these files against unauthorized access.
4. Diagnostics and Optional Counts
Offisen processes diagnostic information locally to explain problems and help troubleshoot them. Problem messages, the Diagnostic Center, run history and exported reports work independently of optional diagnostic counting.
Earlier versions and the upcoming update
In Store versions released before this update, optional diagnostic counting is off by default and the summaries stay on your device. The revised choices and per-batch sending described below apply to the upcoming Offisen update.
Your choice and the information collected
Optional counting helps us identify and fix recurring problems. It stays off until you choose Turn on collection after the explanation. Declining, closing the window or doing nothing leaves it off and does not limit ordinary use. A saved choice to turn it off survives restarting and updating. If you enabled it in an older version, counting pauses until you confirm the new explanation.
Each entry contains only the Offisen version, diagnostic code, severity and number of occurrences. A batch has a random one-time identifier to recognise repeated delivery. This optional queue and its upload do not contain recorded text, sequences, window titles, file paths, your name or email address, exception text, full reports, or a permanent user or device identifier. These limits do not describe all data used by other local features.
Sending and connection information
Each batch requires a separate confirmation using Send; you can preview its entries first. There is no automatic sending or automatic retry. Occasional questions wait at least seven days after activation or turning questions on, and at least seven days between questions, while Offisen is idle. You can open the preview sooner. The question setting alone never enables collection or sending.
Confirmed batches are sent to Offisen over HTTPS, without cookies or sign-in credentials. Websupport provides hosting and the connection passes through Cloudflare. We use received counts to identify recurring problems and improve reliability.
Your connection's IP address is also processed when you send a batch. We use connection information to secure the service and prevent abuse. Our diagnostic receiver does not retain the IP address itself; it keeps a short-lived security record derived from it. Websupport and Cloudflare can process IP addresses and other connection information in separate operational and security logs.
Retention and deletion
Newly collected groups have one 90-day local period starting with the first occurrence in the group. Saving, preparing a batch, retrying and restarting do not renew it. Later counts in the group may be deleted sooner. Expired groups are removed without sending at the next queue check, at startup or when Offisen works with the queue. Cleanup does not run while it is closed and depends on the device's clock. Older data uses available original retention or snapshot dates; the exact age of every older occurrence may not be recoverable.
Received batches have a 180-day server retention period. The receiver's short-lived security records have a 48-hour period. Regular cleanup removes expired records, so deletion is not instantaneous. Hosting backups and provider logs have separate retention arrangements.
Turning collection off stops new counting and discards unsaved counts; saved counts remain until deletion or expiry. Delete collected diagnostic data... clears existing counts in memory and the saved queue, including the prepared batch. Offisen reports an incomplete deletion and offers a retry. New problems may be counted afterwards if collection remains on.
Local deletion does not delete workflows, run history, exported reports, settings, backups or server data, and does not recall an upload already started. A sent batch is removed from the local queue only after the server confirms receipt or confirms that it already received the same batch.
See How Offisen collects and protects optional diagnostic data for practical instructions.
Reports and messages you send to support
A report you copy or export can contain more technical detail than an optional summary, including system information, a timestamp and correlation ID, problem descriptions and selected error details. Copying or exporting it does not send it through the diagnostic-summary service.
If you send a report, screenshot, workflow or message to support, we receive its contents and the contact details used to send it. We use these to respond and investigate the problem. Review materials before sending and remove confidential information you do not wish to share. Share only information you are authorised to disclose.
5. Microsoft Store and Other Third-Party Services
Offisen uses Microsoft Store to distribute the application, obtain information about subscription offers, verify licenses, and complete purchases. These services may require an internet connection. Offisen receives the information needed to display and verify your entitlement to use the application.
Microsoft handles Microsoft account sign-in, payments, and subscription management. Offisen does not receive your Microsoft account password or full payment card details through the purchase interface. Microsoft’s processing of information is governed by its Privacy Statement and the terms of the relevant services.
Automated workflows are not sent to Microsoft for license verification or subscription purchases.
If you use Offisen to control an application or online service that sends information over the internet, running your workflow may cause information to be sent through that application or service. Its own privacy policy applies to that processing. Likewise, when you open an external link from Offisen, the privacy policy of the website you visit applies.
6. Your Control and Sharing
You can manage and delete your automated workflows within the application. You can also copy locally stored files for backup purposes or remove them from your device. You can change your choices for optional features in settings.
You decide whether to share workflow files or materials for support. Before sharing, check for personal information, passwords, or other confidential information, including information about other people. Share only information you are authorized to disclose.
If you place files in cloud storage or a synchronized folder, or send them through a third-party service, that provider’s policies also apply to those copies. Deleting the original file in Offisen does not delete copies held in backups, by external services, or by recipients.
7. The Offisen Website
Visiting the website involves connection information processed by our hosting and security providers to deliver the pages and protect the service. This is separate from optional diagnostic collection in the application.
If you change the website's light or dark theme, the website saves that preference in your browser's local storage so it can remember your choice. You can remove it by clearing the site's stored data in your browser.
8. Your Privacy Rights
Where the GDPR applies, you may request access to your personal data, correction, erasure, or restriction of processing, and data portability where its conditions are met. You may object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent without affecting the lawfulness of processing carried out before withdrawal. These rights are subject to the conditions and exceptions in the applicable law.
Contact [email protected] to make a request. Include only information needed to help us understand it. We will respond without undue delay and normally within one month. If an extension is permitted because of the complexity or number of requests, we will explain the reason within that month.
Diagnostic batches do not contain your name, email address or a permanent user or device identifier. We therefore cannot look up all your batches by your name or email address. If you have information that could identify a particular batch, you may provide it and we will assess whether we can locate it and verify that the request concerns you. We will explain if we cannot identify the relevant data. We do not require you to create a permanent identifier solely to make a request.
Turning collection off in Offisen stops future local collection; it does not itself erase data already sent to us. Requests concerning received batches, support correspondence and provider logs are assessed separately. We cannot retrieve local-only data from your device.
You may complain to your local data protection authority. In Slovakia, this is the Office for Personal Data Protection of the Slovak Republic.
9. Contact and Policy Updates
If you have questions about privacy in Offisen or information you have provided when requesting support, contact Rudolf Mendzezof at [email protected]. Include only the information needed to address your request.
We will update this policy to reflect changes in how data is processed or which services are used. The current version is available at https://www.offisen.app/privacy-policy/. The date of the latest update appears at the beginning of this policy.
We will notify you of material changes to how data is processed through the application or a notice accompanying an application update. Publishing an updated policy does not replace your consent where consent is required.
